Sales and Events Coordinator

Sales and Events Coordinator Job Summary

We are looking for an experienced Sales and Events Coordinator to organize events. The Sales and Events Coordinator will be responsible for every aspect of an event, from detailing client events to evaluating success afterwards.


The Sales and  Events  Coordinator must be well-organized and competent in vendor management. Communication skills and attention to detail will set apart the best among the candidates. 


General Accountabilities

  • Effectively coordinate and oversee all internal and external catering events. 
  • Coordinate event logistics prior to the date with food and beverage departments. 
  • Conducts weekly event meetings with sales, operations, and food and beverage departments.
  • Monitors event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
  • Inspects event facilities to ensure that they conform to customer requirements.
  • Detail all events booked by sales managers to include (Food, Beverage, Rentals,)
  • Coordinate Catering support services (flowers, entertainment, decoration, A/V, etc.) to provide complete client satisfaction.
  • Servers as day of coordinator for events that require day of coordination
  • Coordinate with outside vendors to implement additional services, as required by customer.
  • Provide high levels of communication and customer service with internal and external customers.
  • Meets with sponsors and organizing committees to plan scope and format of events, to establish and monitor budgets, or to review administrative procedures and event progress.
  • Maintains records of events, including financial details. Reviews event bills for accuracy and approves payment.
  • Is actively involved in the development of service techniques, menu presentation, policies and procedures.
  • Foster strong relationships with the local communities to include networking events and community events
  • Performs related duties and special projects as assigned.

Job Qualifications

  • Education: Bachelor's degree or a combination or education and experience
  • Experience: At least 2 years of related hospitality experience

+ Work may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.

Catering Sales Manager

Catering Sales Manager Job Summary

A catering sales manager targets and coordinates catering sales efforts. The job involves initiation and development of quality leads to ensure growth of catering sales.The primary responsibility of a catering sales manager is to develop existing business and solicit new catering business through catering lead generation and catering sales marketing. The catering sales manager solicits new catering customers through traditional and non-traditional sales techniques.


Other important duties include booking, selling, planning and coordinating all events while assuring the highest level of customer service. Generating revenue, establishing new accounts, monitoring booking space, booking repeat business while keeping quality consistently high, conducting catering sales presentations and catering sales calls also falls under the purview of a catering sales manager job.


General Accountabilities

·  Creates catering activities, books, plans & directed functions 

·  Creates proposals, contracts and banquet event orders

  • Update and increase client prospects through active prospecting
  • Solicitation of direct selling in the catering market.
  • Maximize Catering revenues wherever possible. Communication of function-arrangement to all responsible departments.
  • Communication with clients prior to events to initiate, negotiate, and close on contracts for all catered functions.
  • Creation of profitable menus and distribution of client expectations to Food & Beverage Departments.
  • Physically double-check all function arrangements against specifications of client. Correct where necessary.
  • Client contract and effective communication to ensure repeat bookings.
  • Foster strong relationships with the local communities to include networking events and community events
  • Maximize revenues for the department through up-selling techniques
  • Resolves customer complaints regarding sales and service.
  • Determines price schedules and discount rates.
  • Reviews operational records and reports to project sales and determine profitability.
  • Monitors customer preferences to determine focus of sales efforts.
  • Advises customers on types of and purchase needs
  •  Performs related duties and special projects as assigned.

Job Qualifications

  • Education: Bachelor’s degree in business administration or a related field or combination of education and experience
  • Experience: 2-4 years of related experience
